Conference Support Administrator - Edinburgh or Glasgow

The role is to provide administrative support to the Management Team across several projects. The tasks are varied, and the successful candidate must be highly organised, pro-active in their approach to tasks allocated to them, and who thrive in working in a small team where their contribution is highly valued.
Core duties of this position will include:
- General office administration duties, including but not limited to answering and fielding all incoming calls, arranging couriers, ordering stationery, printing and filing, office post, assisting with preparation of all onsite registration materials
- Attending client meetings and taking accurate minutes when required
- Responding to administration emails across several projects
- Supporting the Executive and Management team to assist with collating data and updating databases across several projects
- Updating websites and social media profiles across several projects (training will be provided)
- Assist in the preparation of weekly reports for membership and conference registration ensuring accurate financial and statistical information
- Assist with the set up and production of face to face, hybrid and virtual conferences
- Provide general support to all conference delegates and members across several projects
- Processing delegate registrations/new members/membership renewals and all payments via our on-line software programme (training will be provided).
- Attending conferences on-site and staffing the registration desks to welcome delegates and to register new delegates.
Key Skills
- At least 3 years previous experience as an administrator
- Accurate typing and proof-reading skills are essential
- Excellent knowledge of Microsoft 365 packages including Word and Excel (specifically data manipulation within Excel spreadsheets).
- Ability to quickly learn new software programmes
- Strong customer service focus and confident and professional telephone manner.
- Highly organised and ability to prioritise own workload in a busy organisation
Salary & Benefits
- Salary range is £20,000 - £25,000 and is commensurate with experience.
- This is a full-time position based in our Edinburgh office (Davidson Mains) and we are happy to consider a flexible working pattern with up to 2 days working from home.
